Volunteer Terms & Conditions

By submitting a volunteer application and completing payment or contribution agreement, you agree to the following terms and conditions as set forth by Samhainfest organizers, including Seeking Numina, Mystic Fox Productions, and Harmer’s Town Art Center.
These terms are intended to ensure a safe, respectful, and smooth experience for all involved.

Volunteer Role & Expectations
Volunteers agree to arrive on time for their assigned shift(s) and to check in at the designated volunteer station upon arrival.
Volunteers agree to fulfill the role(s) they are assigned, or to communicate promptly if they are unable to do so.
Volunteers will be scheduled in 2–4 hour shifts and are welcome to enjoy the event before or after their shift.
Volunteers must be at least 16 years of age unless approved in advance by the organizing team.
Code of Conduct
Volunteers are expected to act with kindness, integrity, and respect toward attendees, vendors, fellow volunteers, and event staff.
Discrimination, harassment, disruptive behavior, or intoxication during the event will result in immediate dismissal from volunteer duties and the event.
Volunteers are representatives of the festival and are expected to uphold the spirit of Samhainfest while on shift.
Role Placement & Flexibility
While we do our best to honor role preferences, final assignments are made based on the needs of the event.
Volunteers may be asked to assist in additional roles during their shift depending on real-time needs (especially floaters and general support).
Some roles may involve standing for extended periods or working outdoors. If this is a concern, please let us know in advance in your application.
Media Release
By volunteering, you grant permission to Samhainfest organizers to use photos or videos that may include your image for promotional purposes unless otherwise stated in writing.
Weather & Cancellations
Samhainfest is a rain-or-shine event. Volunteers should plan accordingly and dress for the weather.
In the event of cancellation or significant weather-related changes, volunteers will be notified via email or phone as soon as possible.
Liability & Safety
Volunteers participate at their own risk and agree to hold harmless Samhainfest organizers and affiliates from liability related to personal injury or property loss during the event.
Volunteers agree to follow any safety guidelines issued on the day of the event, including those related to fire safety, crowd flow, or emergency response.
Agreement Acknowledgment
By submitting the volunteer application, you acknowledge that you have read and understood these terms, and agree to abide by them in full if selected as a volunteer for Samhainfest 2025.
