Sponsor Terms & Conditions

By submitting a sponsorship application and completing payment or contribution agreement, you agree to the following terms and conditions as set forth by Samhainfest organizers, including Seeking Numina, Mystic Fox Productions, and Harmer’s Town Art Center.

Sponsorship Eligibility & Review
All sponsorship applications are subject to review and approval.
Samhainfest reserves the right to accept or deny any sponsor based on alignment with the spirit, values, and integrity of the event.
Sponsors should reflect the festival’s themes of community, creativity, seasonal celebration, and spiritual respect.
Contribution Requirements
Sponsors may contribute through financial support, in-kind goods, services, or promotional support.
Sponsorship tiers and benefits are outlined in the Sponsorship Overview and will be honored accordingly.
Custom sponsorships must be clearly defined in writing and agreed upon by both parties.
Payments & Agreements
Monetary sponsorships must be paid in full by October 25th, 2025 to ensure full promotional benefits.
No refunds will be issued after acceptance unless the event is canceled by the organizers.
Sponsors who do not fulfill their agreed-upon contribution may forfeit their placement and associated benefits.
Sponsor Visibility & Promotion
Accepted sponsors will be included in Samhainfest promotions based on their tier level, including but not limited to: website listings, social media posts, signage, and email newsletters.
Sponsors must provide all promotional assets (logo, links, descriptions) by the required deadline to ensure inclusion.
Organizers reserve the right to adjust promotional placements as needed for scheduling or branding purposes.
Conduct & Representation
Sponsors must uphold respectful, inclusive, and community-centered values.
Any messaging, products, or representation shared through Samhainfest must align with the event’s themes and may not promote hate, discrimination, or exploitative practices.
The organizers reserve the right to remove any sponsor who violates this code of conduct without refund.
Event Cancellation or Changes
In the unlikely event of cancellation, sponsors will be notified and may receive a refund or credit toward a future event, depending on the situation.
Samhainfest reserves the right to make necessary changes to the event format, location, or timing. Any major changes will be communicated to sponsors in a timely manner.
Liability & Indemnification
Sponsors participate at their own risk and agree to hold harmless Samhainfest, Seeking Numina, Mystic Fox Productions, Harmer’s Town Art Center, and all affiliated personnel from any liability, damage, or loss arising from sponsorship participation.
Agreement Acknowledgment
By submitting your sponsorship application and/or completing payment or trade agreement, you acknowledge that you have read, understood, and agree to abide by these terms.
